STG Health Services Inc. (“STG Health,” referred to as “we,” “us”) last updated this Privacy Policy (“Policy”) on September 12, 2024. We reserve the right to amend this Policy at any time to account for changes in applicable law, our practices, and the STG Health Platform. Please check if we have amended the Policy since you last accessed our services to ensure you are aware of—and agree with—our most current privacy practices.
We take our commitment to privacy seriously and strive to comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Saskatchewan’s Health Information Protection Act (HIPA). We believe an important part of protecting privacy is to provide clear, accessible details about how we handle your personal information.
1. Key Definitions
For the purpose of this Privacy Policy, the following terms have the meanings set out below:
- Applicable Law: Saskatchewan privacy and health information protection legislation, along with PIPEDA, and all other laws and regulations to which STG Health, Authorized Healthcare Professionals, or Users in Saskatchewan are subject.
- Authorized Healthcare Professional: Healthcare professionals—such as psychologists, psychotherapists, or nurse practitioners—licensed to practice in Saskatchewan and authorized to use the STG Health Platform.
- Content: General information about mental health, healthcare topics, or related resources posted on the STG Health Platform. Accessing this Content does not constitute or replace healthcare services.
- Healthcare Services: Mental health and, if necessary, additional health care services provided remotely via telehealth by Authorized Healthcare Professionals in Saskatchewan, which may include assessments, counseling, psychotherapy, prescription issuance, and follow-up.
- Medical Record: Any user information (Personal Health Information or Personal Identifying Information) used to facilitate Healthcare Services.
- Personal Health Information (PHI): Identifying health information about an individual (e.g., health history, care received, coverage eligibility).
- Personal Identifying Information (PII): Identifying personal details, such as name, address, phone number.
- STG Health Platform: The hardware, software, websites, applications, Content, products, and services owned or operated by STG Health to enable remote healthcare services and related offerings for Users in Saskatchewan.
- User (“you,” “your”): An individual residing in Saskatchewan who registers to use the STG Health Platform.
2. The STG Health Platform and How We Collect & Use Information
The STG Health Platform facilitates telehealth (including counseling, psychotherapy, psychological assessments, and, if needed, care by a nurse practitioner). Below is an overview of how the Platform generally functions and the purposes for which STG Health collects, uses, and discloses User personal information (“Information”), including both PHI and PII.
2.1 Healthcare Services
- Collection of Information: Authorized Healthcare Professionals collect your Personal Information through the STG Health Platform to provide Healthcare Services. This may include your name, date of birth, email address, phone number, address, medical history, and any relevant details for an assessment or treatment.
- Use of Information:
- Healthcare Professionals may create new Information (e.g., prescriptions, assessment notes) within the Platform.
- STG Health does not record the audio or video portions of any telehealth session.
- In a potential emergency situation, an Authorized Healthcare Professional may attempt to contact the emergency contact you provide. You are responsible for obtaining that contact’s consent to share their information with us.
2.2 STG Health’s Pharmacy Collaboration (If Applicable)
- If a nurse practitioner prescribes medication, STG Health may collaborate with an appropriate Saskatchewan pharmacy partner to arrange prescription fulfillment.
- To process payment or direct billing, STG Health may share relevant Personal Information (e.g., name, contact information) with third parties that pay on your behalf (“Third Party Payers”).
- We require your consent to disclose any prescription details to the pharmacy or Third Party Payer.
2.3 Third-Party Service Providers
- STG Health uses third-party software and service providers for operational support (e.g., payment processing, secure data hosting).
- These providers have access to Personal Information only to the extent necessary to perform their functions, and they must comply with this Policy and Saskatchewan privacy laws.
2.4 Additional Services
- STG Health may assist with tasks such as scheduling appointments, securely faxing prescriptions to your chosen pharmacy, and, when appropriate, obtaining or uploading lab results necessary for ongoing care.
- From time to time, STG Health may provide services that are healthcare-related but not strictly “Healthcare Services” (for example, group coaching). Any STG Health employees or third parties delivering these services receive mandatory privacy and security training to ensure compliance with our obligations under this Policy and Saskatchewan law.
2.5 Other Collections & Uses of Information
We may also collect and use Information, to the extent necessary, for:
- Administering eligibility for the STG Health Platform (e.g., confirming residency in Saskatchewan).
- Facilitating prescription refills or renewals.
- Advising you of services that may be of interest.
- Gathering feedback to improve our operations and the user experience.
- Investigating or addressing legal claims.
- Fulfilling regulatory or legal requirements in Saskatchewan or under PIPEDA.
- Other uses permitted by law, with your prior consent where required.
3. Personal Information Storage
- Storage Location: STG Health stores Personal Information on secure servers or data centers located in Canada (or within North America), applying appropriate security safeguards.
- Saskatchewan Residents Only: The STG Health Platform is intended for use by individuals within Saskatchewan. By using our Platform, you consent to storing and processing your Personal Information electronically in Canada.
4. Retention and Deletion of Information
- Retention Requirements: Under Saskatchewan’s Health Information Protection Act (HIPA) and related professional regulations, healthcare providers must retain medical records for at least 10 years from the date of your last service (or longer, if legally required).
- Account Closure:
- You may request your STG Health account be closed. We will, within a reasonable time, securely delete or de-identify Personal Information that is no longer needed.
- Certain medical records must remain on file for the duration mandated by Saskatchewan law or professional guidelines, even after your account is closed.
4.1 Deleting Your STG Health Account
To request account deletion or removal of specific details, contact us in writing:

- We will aim to respond within 30 days. We will inform you if additional time is needed or if certain records cannot be deleted due to legal requirements.
5. Accessing and Correcting Information
- We strive to keep your Personal Information accurate and up to date, but rely on you to promptly inform us of changes.
- You can update basic information (e.g., contact details) via your STG Health account. If you need to correct any healthcare-related data (e.g., records created by a healthcare professional), please contact us at [email protected] or [email protected].
- You may submit a written request to review any Personal Information that STG Health has collected, used, or disclosed about you. We will provide such information as required by law in a generally understandable form. If we cannot meet your request within 30 days, we will advise you and provide a reason.
6. Disclosure of Information
6.1 Situations Where We Share Information
STG Health exercises great care in sharing Personal Information. We may disclose Personal Information:
- To Service Providers: Who assist us in delivering the STG Health Platform or services (e.g., data hosting, payment processing).
- To a Potential Acquirer: If STG Health is involved in a merger, acquisition, or sale of assets, we may disclose relevant data, subject to safeguards and confidentiality requirements.
- Emergency Contacts: As described above, if we have reason to believe you are experiencing a medical or mental health emergency.
- Legal Obligations: When required by law, court order, or regulatory mandate in Saskatchewan.
6.2 Pharmacy and Prescription Details
- If you have medication dispensed, certain prescription information may be shared with a local Saskatchewan pharmacy, or with shipping providers if you request mail delivery.
- Saskatchewan Drug Plan: If you are registered with the Saskatchewan Drug Plan or have coverage under another recognized benefit, your dispensing information may be recorded or accessed in accordance with provincial regulations (e.g., eHealth Saskatchewan).
6.3 Medical Record Disclosure
- You may request a copy of your medical record anytime within the retention period.
- We do not release your records to any external healthcare professional without your explicit consent, unless required by law.
7. Consent for Collection, Use, and Disclosure
- By using the STG Health Platform, you consent to the collection, use, and disclosure of your Personal Information as outlined in this Policy.
- Where required, we will request explicit consent. You may withdraw consent by notifying us, subject to legal or contractual restrictions (for instance, mandatory retention periods).
8. Accountability
- Primary Responsibility: In Saskatchewan, STG Health is responsible for ensuring that the collection, use, and disclosure of your Health Information comply with HIPA and PIPEDA, as applicable.
- Our Role: We provide technical and administrative support to Authorized Healthcare Professionals; we also implement privacy and security measures to safeguard your Health Information.
9. Safeguarding Information
STG Health uses physical, organizational, and technological measures to protect Personal Information against loss, theft, unauthorized access, or disclosure. However, no method of electronic communication or storage is fully secure. The security measures we employ minimize risk but cannot eliminate all potential security threats.
- Personnel & Providers: Only those with a legitimate “need to know” (e.g., your treating clinician, specific support staff) can access your Personal Information. All STG Health employees and contractors must complete privacy and security training.
User Responsibilities:
- Create and maintain a strong, unique password.
- Keep your login details confidential.
- Log out after each session.
- Protect personal devices with passwords or security locks.
10. Cookies and De-Identified Data
- De-Identification: STG Health may create de-identified or aggregated data from Personal Information and use it for internal analytics, platform improvements, and permissible research. De-identified data does not identify you personally.
- Cookies & Similar Technologies: The STG Health Platform may use cookies, pixel tags, or web beacons to better understand usage patterns and improve user experience. Users can control certain cookie settings in their browser, though disabling cookies may affect platform functionality.
11. Links to Third-Party Websites
Links to external websites may appear within the STG Health Platform or our communications. These links are provided for convenience only. STG Health does not endorse or assume responsibility for external content, accuracy, or privacy practices. Accessing third-party websites is at your own risk.

- Health Information Protection Act (HIPA): Governs the handling of personal health information by trustees (including certain healthcare providers and organizations) in Saskatchewan.
- PIPEDA: Governs how private sector organizations collect, use, and disclose personal information in the course of commercial activities across Canada.
